What Yes Chef keeps about you, why, who sees it, and how to have it corrected or removed. Last updated 11 October 2026.

Who is responsible

Yes Chef is made by 1273 Software Ltd, a company in England. Restaurants use it to run their rotas, checks, timesheets, menus and team messages.

If you use Yes Chef because you work somewhere that uses it, your employer decides what is kept about you there and why, and we keep it on their behalf (they are the controller; we are their processor). Ask them first about anything in your record. For your sign-in itself, and for anything else, write to us at omar@1273.co.uk.

What is kept

  • Your account: name, email address, phone number, date of birth (to apply the rules for under-18s), and the restaurant and sites you work at.
  • Your work: shifts, availability, time off, clock-ins and clock-outs, timesheets, holiday, training, the checks you complete, tasks, and notes your managers write about your work.
  • Your employment record, if your employer keeps it here: address, emergency contact, start and end dates, pay rate or salary, right-to-work check, National Insurance number, bank details for payroll, and tax and student-loan details. Only the people your employer has given that permission can see it.
  • Where you are, at clock-in and clock-out only. If your employer has switched it on, the app checks your location at the moment you clock in or out, to confirm you are at work. It does not follow you at any other time.
  • Photos: a photo of you when you clock in, if your employer asks for one; photos you take for checks, waste and training; and photos you send in messages.
  • Sound: if you take an order by voice, the recording is kept so the order can be written out and, where your employer uses it, to give you feedback on service.
  • Messages you send to colleagues in the app, and what you ask the built-in assistant.
  • Your device: a token so we can send you notifications, the app version, and basic technical logs.

We do not sell anything about you, show you adverts, or track you across other apps or websites.

Why it is kept

  • To do what your employer uses the app for: rotas, pay, legal checks, training, messages.
  • To sign you in and keep your account safe.
  • To tell you things you need to know: a shift, a swap, a check that is due.
  • To keep the service working and fix what goes wrong.

The legal grounds are your employer’s contract with you, the laws they must follow (working time, right to work, food safety, payroll), and their and our legitimate interest in running the service. Location and camera are only used after you have allowed them on your phone, and you can switch them off there.

Who else handles it

We use a small number of companies to run the service. They act on our instructions:

  • Clerk — sign-in.
  • Convex — the database, held in the EU.
  • Vercel — the website.
  • Expo, Apple and Google — the phone app, its updates and notifications.
  • UploadThing — photos and files sent in messages.
  • Google (Gemini) and Fastino — the parts that use AI: writing out a spoken order, the assistant, reading a menu or recipe you upload. They are not allowed to train their models on it.
  • Resend — emails such as invitations.
  • Your restaurant’s till provider, if it is connected, for sales figures.

Some of these are outside the UK. Where they are, the transfer is covered by the UK’s approved safeguards.

How long

For as long as your employer uses Yes Chef and keeps you on it. Photos and files in messages are removed after 30 days unless someone chooses to keep them. When you leave, your employer keeps the records the law requires them to (pay and working-time records, typically six years; food-safety records as their policy says) and the rest is removed when they close your record or ask us to.

Your rights

You can ask to see what is kept about you, have it corrected, have it deleted, or object to how it is used. Ask your employer, or write to omar@1273.co.uk and we will pass it on and help them answer. We reply within a month.

Deleting your account: write to omar@1273.co.uk from the email address you sign in with, or ask your manager. Your sign-in is removed, and your record with it, except what your employer is required by law to keep.

If you are unhappy with an answer you can complain to the Information Commissioner’s Office at ico.org.uk.

Children

Yes Chef is a tool for work. It is not for anyone under 16, and people aged 16 and 17 use it only through their employer.

Changes

If this page changes in a way that matters, we will say so in the app before it takes effect.
