Best food safety check apps for restaurants: digital HACCP records compared

Yes Chef makes restaurant management software. This page is written by us; competitor details are from their own sites on the date shown.

The checks list: a score of 10, seven on time, none late or missed, then the day’s checks, each done one with its time and the name of who did it.
The kitchen fridge and freezer temperature check: the limits it works to, and a row to record each fridge’s reading.

In short

  • Keeping food-safety records is the restaurant’s legal duty. An app helps you keep them; it does not make you compliant.
  • There are two kinds of product: checklist apps, where a person records the check, and sensor systems, where hardware does.
  • Of the six products here, only Trail showed a price in pounds on the pages we read: £38 to £82.50 per site per month on monthly billing, on 12-month terms. FoodDocs publishes in US dollars.
  • Yes Chef’s checks are one part of a wider app. It has no sensors, no advice line, no Android app and no published price.

First: the records are your duty, not the app’s

The legal duty to keep food-safety records sits with the restaurant. Software helps you keep them: it reminds, it timestamps, it stores. It does not make a kitchen compliant, and no app here, ours included, can promise you a good inspection. If you are unsure what your own records must cover, ask your local authority’s environmental health team before you choose a tool.

What to look for

  • A time and a name on every entry, recorded when the check is done, not typed in afterwards.
  • Checks that are due at a time, so a missed one is visible.
  • Somewhere for the failure to go. A fridge reading out of range should become an incident someone has to close, not a red number in a list.
  • A shared tablet as well as personal phones. Not every kitchen porter wants a work app on their own phone.
  • What happens when the wifi drops in the walk-in.
  • Getting the records out: for an inspector on the day, and for yourself if you ever leave the supplier.

Checklist apps and sensor systems

There are two kinds of product under this heading. A checklist app has a person do the check and record it. A sensor system puts hardware in the fridge and records the temperature by itself. Checkit is built around automated monitoring, with checklists alongside. Navitas offers digital checks with its own wireless temperature pods and probes. Trail, Alert65, FoodDocs and Yes Chef are checklist apps.

Sensors take a job off the shift. Checklists depend on people doing them. A site with many fridges, or several sites, has more reason to look at sensors. Neither sensor supplier here showed a price on the pages we read, so that comparison needs a quote.

Trail’s price, and its term

Trail is the only product here that showed a price in pounds, which makes it the easy one to budget for: £38 to £82.50 per site per month on monthly billing, with unlimited users. Two things to read before you sign. The pricing page’s own FAQ says all plans run on 12-month terms. And “APIs & Integrations” and single sign-on are listed on Trail Evo and above (Trail pricing, 13 October 2026; the same three prices appear on The Access Group’s page).

What Yes Chef’s checks do

In Yes Chef, checks are done on a phone or a shared tablet. Each one is timed and carries the name of the person who did it. Alongside the checks there are incidents, a record of equipment and repairs, and an inspector pack for a visit.

The day’s checks on an iPhone, scrolled through: deliveries, opening checklists and temperature checks, each with its time and who did it.

The reason to have checks in the same app as everything else is that the people are already in it. The rota, tasks and team messaging are in the same place, and the kitchen’s prep list and wall screen sit beside the checks rather than behind another login.

Ask Yes Chef answering “Which checks are still to do today?”: two overdue and five due later, with the day’s checks listed underneath.

Where Yes Chef is not the right choice

  • You want sensors or probes. Yes Chef has no temperature hardware. A person takes the reading and records it.
  • You want food-safety advice with the software. We are a software company. There is no consultancy and no advice line. Alert65 comes with both.
  • You only want checks. Trail is a dedicated checklist product. It publishes its price and gives you a 14-day free trial.
  • You need stock control or supplier ordering now. Neither is built. Both are marked “coming soon”, with no date.
  • Your team is on Android. There is a web app and an iPhone app. There is no Android app.
  • Your till is not SumUp POS Pro. That is the one till we connect to live today.
  • You want payroll run from, or linked to, the same tool. Yes Chef exports approved timesheets as a CSV file. It has no payroll integration.
  • You want to sign up and try it today. There is no sign-up form and no free trial. Yes Chef is offered to a limited number of restaurants, and we set each one up ourselves.
  • You need a price before you talk to anyone. We do not publish one.
  • You want a long track record. Yes Chef is new. We have no customer numbers, case studies, awards or certifications to show you.
